How to Compare Stand Builder Quotes

The right way to compare stand quotes is not to look at the bottom line, but to equalise scope and compare cost per m². A 'cheap' quote that excludes installation or freight can look 20% lower on paper while being the more expensive option in reality.
This article gives you a practical framework for laying three proposals side by side: scope equalisation, unit analysis, hidden-cost scanning and the criteria that matter beyond price.
Step 1: Equalise the scope
Put the same checklist next to every proposal: design, production, freight, installation, dismantling, flooring, lighting, furniture, graphic printing, on-show support. For every item missing from a quote, add its market cost to equalise.

Step 2: Reduce to cost per m²
Divide the equalised total by the stand's area and benchmark against market ranges: as of 2026, modular systems run roughly €150–280/m², maxima €180–320/m², and custom wooden builds €350–700/m².
A quote clearly below the band is usually cutting something — material grade, labour, or an 'extra' that surfaces on show day. A quote above the band is justified only by special engineering (double deck, LED tunnel, heavy displays). Full ranges are in our cost guide.
Step 3: Scan for hidden costs
The most commonly hidden items: power connection fees, rigging, parking and access passes, empty-case storage, post-show dismantling and artwork preparation. If the quote has no 'exclusions' section, ask in writing where these live.
For international shows, clarify who owns customs and ATA carnet costs — these can be included under exhibition logistics.
Five criteria beyond price
1) Production base: a builder with its own workshop controls deadlines and quality. 2) Pre-assembly: is the stand test-built before shipping? 3) References: has the firm delivered at your fair and in your industry? 4) Show-day support: is there a crew on site? 5) Responsiveness: the tempo of the quoting process is a rehearsal for the project itself.
